AI Content Analysis

So, you’re working with your stakeholders on a new learning program project. All the details are falling into place. The length, modality, and theming of the program are agreed upon. The stakeholders have even outlined a list of top priority topics. There’s only one problem. Well, two if we’re being technical: There’s absolutely no documented source content available and SMEs are too busy on other projects to contribute! And when everything was going so smoothly, too! Where do we go from here? Fortunately, that’s not what this blog is about. This blog is about the opposite problem – There is way too much source content and documentation!

This is certainly better than the alternative described before it. When it comes to source content, the more the merrier when compared to the alternative. But an abundance of source content is often disorganized, labeled poorly, and comes in a form that is difficult to search, such as hours upon hours of videos of presentations and internal meeting recordings, etc. Analysis of this source content will take a ton of time and will surely eat into valuable design and development time. There has to be a good way to approach this!

Enter Artificial Intelligence! Wielding AI properly can help you sift through and analyze a mess of excessive and disorganized source content. The most accessible way to do this is with ChatGPT. Many different types of file formats including Microsoft Office files, PDFs, and videos can be uploaded to a ChatGPT conversation, and the AI can summarize the content and search for specific phrases. If your stakeholders say they want “x, y, and z” to be the topic of a particular training module, but you are unable to find “x, y, and z” in the vast sea of source content provided, ChatGPT can find it, or find that it’s not there at all.  If that’s the case, you can request additional information about “x, y, and z” from your stakeholders. Connections on various topics can be made across documents, as well, ensuring that you have a complete picture of what you’re trying to create training for.

One of the hesitations that many have about using AI in this way is the protection of proprietary information. This is a valid concern. However, ChatGPT does not keep content that you upload, and uses it only during the specific session where you uploaded it. When ChatGPT is asked…

“If I upload documents to you for analysis, what happens to the content of those documents?”

…its response is as follows:

“When you upload documents to me for analysis, the content is processed only during this conversation to provide you with the requested insights or analysis. I do not store the content of uploaded documents beyond this session, and it is not used for training or shared outside this chat. Your data is handled with strict confidentiality and privacy during the session, ensuring it’s not retained once your session ends. If you have any specific concerns about data handling, feel free to let me know!”

But, if you still have concerns, there are other ways to have AI do your analysis bidding. Custom GPTs, upcoming Apple Intelligence features, and Microsoft Copilot all have the potential to be game changers when it comes to the ultimate proprietary-protecting analysis capabilities by keeping much of the analysis done on the local device.

At the end of the day, AI is changing how we work. Learning how to command and deploy it in your daily work lives is going to be important to “keep up” in the next decade. This is only one way that it can make your life much easier and keep you focused on applying adult learning principles and finding creative ways to help your learners become more successful.
